Job Brief

Job holder will be an integral member of the team providing administrative support and tracking project data as direct by their line manager. Good IT skills (including Word; Excel and the use of databases and systems, for example Imprest) will be a core responsibility. Some customer interaction, supporting, and managing expectations will be required. A positive attitude to and willingness to deal effectively with be required as new and ever evolving processes are introduced. Administrators should be able to operate independently as well as a member of the team. An ability to cope with ambiguity will be required. A good team player, willing to learn being an essential quality.

Duties & Responsibilities

• General administrative duties in support of the Project Manager / SDM’s / build team
• The co-ordination of works, workflow and forecasting of works to ensure maximum project delivery
• Collate and issue project update reports and issue to clients in a timely manner.
• Arranging access for teams with landlords/customers and 3rd parties etc, raising Purchase Orders where required and confirming access and notification to the teams
• Responsible for the escalation any programme, health and safety issues identified as not resolved or resolvable
• The liaison with sub-contractors working for Clarke Telecom, i.e. the issuing of drawings, requesting and obtaining quotations, obtaining outages etc
• Downloading / uploading information to parent systems re: OMNIX / EVENFLOW / BT online storage
• Liaison and assist internal departments on issues and problems as requested i.e. raising outages etc
• Submitting Symology & SWNS requests to meet the build programme via SDM’s and liaise with local authorities to resolve any queries
• Liaison with PM’s and contractors daily on issue of programme of works, forecasts, access requests, ad hoc surveys etc
• Collating / producing Hand over packs for upload to parent systems
• Attend off site client meetings where required.

Essential Knowledge and Skills

• GCSE B minimum in English and Maths
• Minimum of 3 years in a similar administrative Role
• Well organised / good communicator
• Self-disciplined and good time management
• Delivery focused and assertive
• Able to work in a Team environment and an effective team player
• Attention to detail / right first time

Desirable Knowledge and Skills

• ARQIVA / WIG Access

Hours of Work
8:30- 17:00 Monday – Friday
